The Billings Specialist is responsible for assisting daily fiscal operations of the agency. The position assists the Senior Director of Finance and Administration in meeting the financial requirements of the agency and assures compliance with all funding sources. This position ensures smooth execution of agency-wide grant requirements and in-kind processes. This is a full time, non-exempt position hired by, and directly accountable to, the Senior Director under the direction of the Executive Director.
Specific Responsibilities
Maintain high level of professionalism including personal integrity, ethical decision-making, and the confidentiality standards of the agency
Work directly with the Finance Department to monitor daily transactions for compliance with grant requirements and ensure compliance as designated by grant budgets.
Reviews staff timesheets and prepares allocations for employment agency staff invoices, payroll/contract labor monthly accruals, and other staffing reports for funders and internal users as requested.
Monitor and track fixed asset inventory including quarterly monitoring and reporting to funders as requested.
Prepare and document monthly billings to grantors. Provide additional documentation to funders when required.
Review and calculate cash match and in-kind match where required as requested
Prepare grant monitoring documentation as requested
Attend meetings as required and assist the Finance Department as needed
Perform all other duties as assigned by the Director of Finance and Executive Director.
Required Qualifications
- Knowledge and skills at a level typically acquired through obtaining a minimum of an Associates Degree or at least 5 years of experience. Experience with non-profit accounting is desirable but not required.
- Proficient in general accounting principles and record keeping systems.
Computer/PC skills: Microsoft Office, especially Microsoft Excel; Sage or similar database- required. - Must possess strong organizational skills to operate efficiently in both electronic and paper filing systems, handle sensitive information and maintain highest level of confidentiality
- Ability to work under highly stressful, crisis-oriented situations
- Professional level oral and written communication skills; ability to interact with individuals at all levels, including significant community relations
Creative and innovative problem-solving and conflict resolution skills - Adhere to the Revised Member Program Service Standards of the Kentucky Coalition Against Domestic Violence.
- Completion of First Aid, CPR, and Blood-borne Pathogen Training.
- Valid Kentucky driver’s license and proof of vehicle insurance.
- Submit to criminal background check(s).
Comprehensive Benefits Package
